Missed calls are a revenue leak. Do the math
Most missed callers never call back. They call your competitor instead. Here is how to work out what that costs you, and the two realistic ways to fix it.

Your phone rings while you are with a customer. You cannot pick up. The caller does not leave a voicemail. They do not call back. They call the next name on Google.
This is not a feeling. It is measured. A 411 Locals study of 85 businesses across 58 industries found 62% of inbound small-business calls go unanswered. The Numa Small Business Phone Report found 85% of those callers never call back. Put the two together and over half of all inbound call volume is permanently lost.
The numbers are ugly
Ringly's 2026 call stats roundup adds the details: 30 to 40% of missed business calls happen outside business hours. Small businesses miss 22 to 40% of calls overall. And only 20% of callers leave a voicemail. The other 80% just vanish.
Think about what that means for a clinic, a salon, or a contractor. The phone rings during the busiest hour, which is exactly when you cannot answer it. The busiest hour is also when the most valuable calls come in. The leak is biggest right where the water is deepest.
Do your own math
This is an example, not your numbers, but run yours the same way. Say a salon gets 12 calls a day and misses 40%. That is about 5 missed calls a day. If one in three callers would have booked, and an average booking is worth Rs 1,500, that is roughly Rs 2,500 walking away every day. Over a 26-day month: Rs 65,000.
Your numbers will differ. Count your calls for one week. Estimate your miss rate honestly. Multiply by your average job value and the share of callers who would have bought. The result is usually uncomfortable. That is the point.
Now try a contractor, same method, different shape. Fewer calls, bigger tickets: 4 calls a day, miss half, one in two would have become a Rs 15,000 job. That is Rs 15,000 a day walking away, about Rs 3.9 lakh a month. High-ticket businesses bleed the fastest because every missed call is a big number.
Fix one: a human process that actually works
The cheapest fix is callback discipline. Every missed call gets a callback within the hour, no exceptions. Put one person's name on it. Check the log twice a day: once at lunch, once before closing. A caller who hears back in 30 minutes often books. A caller who hears back tomorrow has already booked elsewhere.
If you cannot staff it, say so on the voicemail and redirect: record a message that says you are with customers right now and ask them to message you on WhatsApp, promising a reply within the hour. A caller with a second option uses it. A caller with only a dead tone moves on.
Fix two: let WhatsApp catch them after hours
This is the fix that works while you sleep. An after-hours auto-reply on WhatsApp that does four things: acknowledges the message immediately, answers the three questions everyone asks (timings, price, location), captures the name and the need, and offers the next open slot.
The caller who rang at 9 pm gets a reply at 9:01 pm. They book the slot themselves or leave their details for your morning callback. You wake up to booked appointments instead of missed calls. That is the whole trick: the phone can ring unanswered, but the business never goes silent.
Two things the auto-reply must not do. Do not pretend to be a human: a customer who discovers the friendly reply was a bot feels tricked. And do not promise a callback time you will not keep. A bot that says we reply within the hour must be backed by someone who actually replies within the hour.
